Care-FULLY TRAINED mission is to provide quality accredited short courses at lowest possible rates. Our terms and conditions are designed to help us to help you by minimising our costs, thereby allowing us to keep our prices as low as possible.

Course bookings

Bookings may be made at any time by telephone, by email or via the Care-FULLY TRAINED website. Telephone bookings must be confirmed in writing or by email upon request. Please quote purchase order numbers where applicable. Upon booking, Care-FULLY TRAINED will issue email confirmation and an invoice simultaneously.

Payment terms

Our standard payment terms are that cleared payment must have reached our account prior to the training being delivered in order to enjoy the special low rates. No reminders will be given between booking and delivery and it is the customer responsibility to ensure cleared funds are received in time. If cleared funds are not received in time, the training will still be delivered but there is an automatic surcharge of £10 applied per candidate per full day course and an additional £5 per candidate per half day course. Where a course has been booked at a daily rate, (as opposed to per candidate) the surcharges is £50 for a half day course and £100 for a full day course. All other invoices will be strictly 30 days after the invoice date. We prefer online payment by BACS to

Should circumstances mean that you have to cancel your course, the following charges will apply:

More than 28 days prior to the course start date – no charge

14 to 28 days prior to the course – 50% of the course fee

Less than two weeks prior to the course – full fee.

NB Cancellation must be made in writing or email and received by Care-FULLY TRAINED by the due date. If for any reason Care-FULLY TRAINED has to cancel a course, a full refund will be made. If preferred the course can be rescheduled for another convenient date.


If you do not attend a course, and you have not previously informed us within the time frame detailed above (please see cancellations), the full course fee remains payable.


Course bookings are non-transferrable and any request to transfer from one course to another will be dealt with as a cancellation followed by a fresh booking.

Late arrivals/missed sessions

If you arrive late for a course or are absent from any session or need to leave early, we reserve the right to refuse to accept you for training and /or refuse to issue a certificate of completion if we feel you will gain insufficient knowledge or skill in the time remaining.

Course Venues

In order for us to keep our course fees at the absolute minimum, we rely on combining delegates from different organisations to create viable numbers of delegates on each course. This will mean that courses may be held at Employers premises or at nearby neutral venues and that candidates may need to travel. We reserve the right in exceptional circumstances to change the venue to accommodate the course numbers.

Guidelines for delegates and employers

It is the employer’s responsibility to ensure that delegates are free from any condition which would affect their capability to undertake their chosen course, and that they have the aptitude to cope with a classroom based course of study. We welcome delegates with disabilities but it is the employer’s responsibility to inform Care-Fully Trained in advance, for setup purposes, of any assistance that a delegate is likely to need during the running of the course.

If it is felt that the delegate doesn’t meet the learning outcomes of the course and or assessment process and is referred, they will be offered a free assessment. Any further training or coaching over and above that provided on the course may be charged for.


Workshop session QCF/RQF Training

Where the training IS funded, it is your responsibility to obtain it and to satisfy the conditions required by the funding authority.

You will be required to (a) register on the NMDS-SC. It will be your responsibility to update your staff details and establishment details within each funding year to satisfy the requirements of the NMDS-SC and enable you to claim WDF funding from Skills For Care. (b) Become a member of a local partnership, It will be your responsibility to satisfy all requirements in order to submit claims within the funding year. Membership will need renewing on an annual basis. It will be your responsibility to submit claims to the partnership when prompted by Care-FULLY TRAINED, failing to do so may result in additional charges as detailed below. (c) You will be required when prompted to update us on the process of your claim (d) All remittance must be forwarded to Care-FULLY TRAINED once received from the partnership.

Whilst CFT can provide advice and assistance to do this, this may be charged as an additional item, in which case it will be invoiced separately

Once received from the Awarding Body, QCF/RQF certificates will be provided free of charge and will be sent directly to the individual learners. A copy will also be emailed to the manager of the care establishment. All short course certificates are emailed free of charge once payment has been made for the training. If you require hard copy short course certificates posting to you, there will be a charge of £1.00 per certificate. If you require the short course certificates before the QCF/RQF is completed, these can be sent upon payment of £20 per course per candidate – these amounts will be fully deducted from your final QCF/RQF invoice.

Where a candidate fails to complete their full QCF/RQF award for any reason then (i) we will only invoice you for the credits actually achieved and (ii) we will also invoice you for £20.00 per candidate per short course delivered.

If the expected funding does not materialise through a fault of yours, then the above terms (i, & ii) will apply. It is your responsibility to ascertain that your employees are entitled to the funds being applied for. If the Expected funding is delayed through a fault of yours and funding applications are not sufficiently submitted within the correct timeframes requested by Care-FULLY TRAINED, a surcharge of £100 per candidate will also be added to the settlement.

If the expected funding does not materialise through no fault of yours, then you will only be liable for the £20 per short course (ii). However we retain the right to withdraw from finishing the course in these circumstances.

In all cases where the training is funded, we will defer invoicing you until you have received the money from the funding authority. However payment will then be due from yourselves within 7 days, otherwise a surcharge of £50 per candidate will be added to the invoice. It is your responsibility to notify us by email within 7 days of you receiving the training funds, otherwise the £50 per candidate surcharge will be added.

We have a structured approach to the delivery of QCF/RQFs and it is your responsibility to ensure that all candidates are available on the scheduled dates. Any additional visits needed because of candidates missing dates will be charged for at the rate of £35 per hour.

If the training IS NOT funded, payment is due within 30 days of the date of the invoice. For cancellation terms for privately arranged short courses please visit our website, to avoid any charges.



Offer is valid for groups of 4 or more staff.

If any staff are to withdraw from the qualifcation, then a registration fee invoice will be generated for all learners enrolled on the qualifcation. Payment will be required within 7 days.
